The 5 Availability States
Rather than simple binary 'in office' or 'out of office' statuses, Sferafy tracks 5 discrete availability states across every calendar and team roster:
Request State Machine
Requests move through a strictly validated finite state machine:
• Draft: Created by employee, editable, balances not yet deducted.
• Pending: Submitted for review; days moved to 'pending_days'.
• Approved: Manager or HR authorized; days deducted from 'allocated_days' and moved to 'used_days'.
• Rejected / Cancelled: Approval denied or request withdrawn; days returned to available pool.
Working Day & Holiday Calculation
The calculation engine automatically skips weekend days (Saturday & Sunday) and verified public holidays specific to the employee's assigned office location (Kyiv, Warsaw, London, Berlin).
Manager Approvals & Delegation
Approvals can be completed directly within the Sferafy web portal, through one-click email action tokens, or via interactive Slack cards with bidirectional verification.
On-Call Coverage & Comp-Time
For mission-critical engineering and operational roles, Sferafy enforces automated coverage verification. If an employee on active rotation requests time off, the system requires a designated peer coverage backup before final approval.
Emergency off-hours and weekend on-call shifts accrue compensatory time ('comp-time') balances, allowing engineers to claim reciprocal rest days without depleting contractual PTO.
